Confirm who controls the space
Identify the property owner, venue operator or project contact who can approve outside equipment. Ask about the intended position, access windows and any restrictions. Public facility information is a starting point for that conversation, not a blanket placement permission.
North Miami publishes facility rental information for different kinds of spaces. Check the actual facility’s conditions; a room reservation and a pavilion reservation need not allow the same setup.
Review the complete movement of people and equipment
Describe the vehicle entrance, any gate and the proposed standing area. Ask the provider to assess the surface and approach for the offered equipment. Include door clearance, guest routes, washing and accessible use in the layout.
Think ahead to service visits and collection. A path that is open before other suppliers arrive may later contain tables, parked vehicles or construction materials. Assign responsibility for keeping it available.
Give the receiving team an agreed plan
Name the person who can answer a positioning question and explain when they will be on site. Share sensitive access instructions privately. Keep the accepted layout and contact details available through removal, especially when the event organiser or project manager will leave before pickup.
If something changes, ask the rental team to review it. Do not independently move equipment or improvise utility connections on the assumption that the original arrangement still applies.
